Class Booking Calendars

Class Booking calendars handle one-to-many scheduling — a single session with one host and multiple attendees, like a fitness class, a workshop, a training session, or a webinar.

How it works

Unlike a standard appointment calendar, a Class Booking calendar has exactly one appointment owner (typically the instructor or host), but each time slot can hold many attendees. Every confirmed registration reduces the seat count for that slot by one, and once a slot is full, the system automatically blocks further bookings into it. Depending on your meeting platform's own limits, a single class can scale up to thousands of attendees.

Setting one up

  1. Go to Calendars > Calendar Settings, open the Meetings tab, and click + New Calendar.
  2. Choose Class Booking as the calendar type.
  3. Fill in the name, a short description, the instructor or host, a custom booking URL, meeting duration, and meeting location (a video link or physical address).
  4. Set Seats per class to define the maximum number of attendees allowed per session.

Availability and recurrence

Under Advanced Settings > Availability & Booking Rules:

  • Turn on Recurring Meeting to schedule the same class repeatedly on set days and times (for example, a weekly Tuesday evening class).
  • Use Date Override to add or adjust a one-off session that doesn't follow the recurring pattern.
  • Set minimum booking notice, how far in advance people can book, and the interval between available slots.

Additional options

You can turn on payment collection for paid classes, build a custom registration form to collect attendee details, set up automated booking and reminder notifications, and customize the calendar's branding to match your business.

Showing remaining seats

If you want customers to see exactly how many spots are left before they book, turn on Show seats per slot under the calendar's Customizations > Calendar Widget Style settings. This requires the Neo widget and a seat count greater than 1, and it only blocks a slot once it's genuinely full.

A tip on shared links

Booking links open to the current month by default, not necessarily the month your class is scheduled in. If someone opens your link and sees "No available time slots," have them navigate forward to the correct month rather than assuming the class isn't available.
