Setting Up Service Calendars
Service Calendars are built for businesses that offer a menu of bookable services — think salons, spas, auto shops, photographers, or grooming studios — where availability depends on which staff member is performing the service, not just a generic open slot.
What makes them different
Unlike a simple calendar, a Service Calendar ties directly into your staff's individual schedules. Availability for a given service reflects the working hours of whichever team members are assigned to perform it, rather than a single independent schedule. You can create multiple services, group them into categories, and present them together through a Service Menu — a single booking interface where customers pick the service they need.
Setting one up
1. Basic details
- Give the service a name, description, and URL slug.
- Assign the staff members who can perform it.
- Choose a meeting location — phone, address, custom link, Zoom, or Google Meet.
- Set the service's duration and general availability.
2. Presentation
- Upload a logo or cover image to display on the booking widget or service menu.
- Assign the service to a group so it appears correctly within your Service Menu.
- Customize the appointment invite title and event color for easy identification on your calendar.
3. Availability
- Set weekly working hours and any date-specific overrides.
- Configure duration, booking intervals, and a post-appointment buffer if you need cleanup or reset time between bookings.
- Define minimum booking notice (how soon someone can book) and how far out your booking window extends.
4. Forms and payments
- Choose a default intake form or build a custom one to collect the details you need from clients.
- Decide what happens after booking — a thank-you message or a redirect to another page.
- Turn on payment collection if the service requires payment or a deposit at booking.
5. Notifications and staff selection
- Set who gets notified when a booking comes in.
- Decide whether customers can choose their preferred staff member or whether one gets assigned automatically.
6. Resources
- Attach any rooms or equipment the service needs, so double-booking a chair, bay, or piece of equipment isn't possible.
Who this fits
Service Calendars work well for any appointment-based business with a menu of offerings and staff-specific scheduling — hair and beauty salons, spas and medspas, barbershops, auto detailing and repair shops, photography studios, pet grooming, yoga and fitness studios, and similar service businesses. The setup steps above apply the same way regardless of your specific industry — you're just defining your own services, staff, and resources.
