Workflow Actions: Categories at a Glance
Actions are the steps a workflow takes after its trigger. They run in order from top to bottom, and the action picker groups them into families so you can find what you need.
How to add an action
- Click the + on the line where the step should go.
- Search by name or open a category.
- Select the action, configure it, and click Save Action.
The main families
- Contact: create or find a contact, update fields, add or remove tags, assign or unassign a team member, edit conversations, toggle do-not-disturb, add notes and tasks, modify engagement score, manage followers, and delete or copy records.
- Communication: send emails and texts, make calls, send notifications to your team, and message through social channels.
- Send data: push or pull information using webhooks and Google Sheets.
- Internal tools: helper steps such as If/Else, Wait, Go To, Math Operation, Date/Time Formatter, custom code, goal events, and adding contacts to other workflows.
- AI: steps that use language models to write or classify text.
- Appointments: change appointment status or create one-time booking links.
- Opportunities: create, update, or remove deals.
- Payments: send invoices, charge cards, and send documents and contracts.
- Marketing: audiences and conversion events for ad platforms.
- Courses, Communities, and Affiliates: grant or remove access and manage affiliate records.
- IVR: gather input on a call, play a message, connect, record a voicemail, or end the call.
Special behaviors
- Conditional steps split contacts into branches.
- Wait steps pause contacts before the next action.
- Goal events let contacts jump ahead.
- Premium actions may use execution credits.
Naming matters
Rename each action to say what it does, such as "Text reminder 24h before". Clear names make logs and canvas views much easier to read.
Good to know: If an action you expected isn't listed, install the related app from the Discover panel in the action picker.
