Letting Registrants Pick a Webinar Time and Get a Confirmation Email

If you run the same session at several times, you can use one registration form with a time-slot question and an automatic email that repeats back the choice.

Step 1: Create the Slot Field

  1. Go to Settings > Custom Fields and click + Add Field.
  2. Choose Dropdown or Radio Select, name it "Choose Your Webinar Time", and set the object to Contact.
  3. Add your options, such as Tuesday 7 PM, Thursday 2 PM and Saturday 11 AM.
  4. Leave Allow Custom Values off so people can only pick listed times.
  5. Save.

Step 2: Add It to the Form

Open Sites > Forms, create or edit the registration form, and drag the new field from the Custom Fields tab onto it along with name and email. Save.

Step 3: Send the Confirmation

Form settings control only what shows on the page after submit, so emails need a Workflow.

  1. Go to Automation > Workflows and create one.
  2. Set the trigger to Form Submitted and select your form.
  3. Add a Send Email action with a subject like "Webinar Registration Confirmed".
  4. In the body, greet the contact with their first name merge field, insert the slot field from the merge field list, and add your meeting link.
  5. Save and publish.

Step 4: Add Reminders (Optional)

In the same Workflow, add Wait steps counted from the webinar time and send reminders at 24 hours, 1 hour and 10 minutes before. For several sessions, add an If/Else step that checks the slot field and sends the matching reminder schedule.

Good to know: Send yourself a test registration for every slot, so you can confirm each one produces the right reminder timing.
