Capture Incoming Messages with the Inbound Email Trigger

The Inbound Email trigger starts a workflow whenever an email arrives in your connected mailbox. Unlike Customer Replied, it can also catch first-time emails from people who are not yet contacts.

What it can catch

  • Cold emails: first emails from unknown senders.
  • Warm emails: new emails from existing contacts.
  • Replies: answers inside an existing thread, if you allow them.

Capturing cold emails requires a dedicated sending domain set up in Vendi Today. Shared domains, two-way sync with Gmail or Outlook and generic SMTP setups only capture emails from existing contacts. Every address on a dedicated domain is captured, such as sales@ or support@.

Filters

  • Email Sent To / Mailbox: equals, any of, contains, does not contain.
  • From and CC: match the sender or copied addresses.
  • Subject: equals, contains or does not contain.
  • Body (plain text): contains or does not contain.
  • Has Attachments: true or false.
  • Replied to Workflow: only replies to a chosen workflow.
  • Contact Tag: has or does not have a tag.

Settings

Open Advanced Settings to turn on Trigger Only for New Email Conversations. When on, only the first email in a thread fires the workflow. You can also choose to create a contact automatically for unknown senders.

Set it up

  1. In Automation > Workflows, click Add New Trigger and pick Inbound Email.
  2. Name it, for instance "New lead from sales inbox".
  3. Add filters and settings.
  4. Click Save Trigger, add actions, and publish.

Ideas

  • Route sales@, support@ and billing@ into different branches with a Condition.
  • Send an acknowledgement and add a "New lead" tag.
  • Notify a teammate when a message includes attachments.
  • The subject, plain text body, sender name and address, CC and message ID are available for later steps.

Good to know: Turn on new conversations only if you do not want every back-and-forth reply to restart the workflow.
