Restrict Access to Workflow Folders
Workflows often hold the logic your business depends on, so you may not want everyone editing them. Folder permissions let you decide which user roles can see, create, and change the workflows inside a folder.
What permissions control
People without access to a folder cannot see the workflows in it, create new ones there, or edit existing ones. The folder simply isn't available to them in the list.
Some things stay open to every user regardless of folder settings:
- Viewing the list of workflows a contact belongs to, on the Contact Details page.
- Adding or removing a contact from any workflow.
Set permissions on a folder
- Go to Automation > Workflows.
- Hover over the folder (or create a new one).
- Click the Actions menu and choose Manage Permissions.
- Select the user role that should have access.
- Save your selection.
Choosing the right level
Access is cumulative by role. Picking a higher role keeps the folder to a smaller group, while picking the lowest option opens it to everyone on the team. Typical patterns:
- A folder of core revenue workflows limited to admins.
- A folder of shared templates open to all team members.
- A folder for in-progress experiments open to the people building them.
Tips for organizing
Group workflows by purpose (sales, onboarding, reminders) before applying permissions, so one setting covers a whole set of related automations.
Good to know: If a teammate says a workflow has "disappeared", check whether it sits in a restricted folder before assuming it was deleted.
