Bill on a Schedule with the Send Recurring Invoice Action

Send Recurring Invoice sets up a repeating billing schedule for a contact straight from a workflow. It fits memberships, retainers, coaching packages, installment plans and annual renewals.

Prerequisites

  • An invoice template (under Payments > Invoices).
  • A connected payment gateway (under Payments > Integrations).

Schedule options

  • Start Date: Action Date begins when the contact reaches the step; Fixed Date starts on a specific calendar day.
  • Stop: Never runs until you cancel it; After X Occurrences ends the plan after a set number of invoices, ideal for 12-month payment plans.
  • Frequency: Daily (every N days), Weekly (chosen weekday), Monthly (by date or by week, such as the second Wednesday) or Yearly (month, day and interval).
  • Days in Advance: send each invoice N days before it is due.
  • Auto-Payment: after the first invoice is paid manually, the card is stored and later invoices are charged automatically. This works with Stripe and requires that first payment to succeed.

Build it

  1. Create a workflow with a trigger such as Form Submitted, Contract Signed or Opportunity Status Changed.
  2. Click +, search "Invoice" and choose Send Recurring Invoice under Payments.
  3. Name it clearly, for example "Monthly retainer - Silver".
  4. Pick From User and Invoice Template.
  5. Set Mode to Test while experimenting, then Live.
  6. Configure Start Date, Stop, Frequency and Days in Advance.
  7. Optionally turn on Enable Auto-Payment.
  8. Choose the Channel (Email, Text, or both), then save.
  9. Test thoroughly and publish.

Avoiding mistakes

  • Add a condition so a contact cannot enter the workflow twice and create two schedules.
  • Use After X Occurrences for fixed-term deals so billing ends by itself.
  • Double-check the start date type; Action Date begins immediately.

Good to know: Run a test with a short interval and a contact you control to confirm timing before launching a real plan.
