Set Up Automatic Email and SMS Follow-Ups
New leads go cold fast. If nobody follows up within the first hour or two, the odds of ever hearing back drop sharply. Automated follow-ups solve this by messaging new leads the moment they show up — no one on your team has to remember to do it.
Building an email follow-up
- Open Automation and choose Create Workflow > Select a Recipe.
- Pick the Email Drip Sequence recipe as your starting point.
- Set the trigger to Form Submitted, and choose the specific form that should kick this off (like a "Contact Us" or "Request a Quote" form).
- Edit the email itself — subject line, message, any attachments.
- Click Publish, then Save, to turn it on.
From now on, anyone who submits that form gets this email automatically.
Building an SMS follow-up
- From Automation, choose Create Workflow > Start from Scratch.
- Set the trigger to Form Submitted and pick your form.
- Add a Send SMS action and write a short, direct message — texts get read fast, so get to the point.
- If you're sending to a larger list, add a drip delay before the SMS action so messages go out in controlled batches instead of all at once — for example, 100 contacts per batch, one batch per day.
- Publish and save.
Why the batching matters
Sending thousands of texts in one burst can trigger spam filters and hurt your sender reputation. Spacing them out in batches keeps delivery healthy and your messages actually landing.
Beyond form submissions
Form submissions are the most common trigger to start with, but once you're comfortable with workflows, you can build follow-ups off almost any event — a missed call, a tag being added, an appointment being booked. Start simple with one workflow, confirm it's working the way you expect, and expand from there.
