Automate Your Event with Workflows

Events connects directly to Workflows, so confirmations, reminders, check-in actions, and post-event follow-up can all run without manual work.

Event Triggers

  • Event Registration: starts when a contact registers.
  • Event Checked In: starts when an attendee is checked in.

Narrow either trigger with filters: specific event, ticket type, registration status, who booked the registration, or check-in details.

Event Data in Conditions

Workflows can branch on event name, type, start and end dates, timezone, location, ticket details, and check-in details. One workflow can therefore send different paths to VIP holders, paid attendees, and free registrants.

Wait Relative to the Event

The Wait action can pause until a point tied to the event date:

  • Before the event by an amount you choose (7 days, 3 days, 2 hours).
  • At the event start time.
  • After the event ends, for thank-you messages, surveys, or recordings.

If someone registers Monday for a Friday event and your wait is "3 days before", the workflow resumes Tuesday.

Build One

  1. Go to Workflows and click Create Workflow.
  2. Choose Event Registration or Event Checked In as the trigger.
  3. Add optional trigger filters.
  4. Add actions: email, SMS, tags, fields, opportunities, or tasks.
  5. Add conditions using event data.
  6. Insert event-relative Wait steps.
  7. Test with a sample registration, then click Publish.

Ideas

  • Branded confirmation with calendar link.
  • Reminder sequence at 7 days, 1 day, and 2 hours.
  • Welcome message at check-in.
  • Sales follow-up for paid-ticket attendees.

Good to know: Check-in does not feed ad tracking, but it can trigger a workflow, which is the right place to automate day-of actions.
