Follow Up on Invoice Activity with the Invoice Trigger

The Invoice trigger starts a workflow when an invoice changes status. Use it to remind customers, thank them for paying and keep your team informed.

Statuses you can react to

  • Sent: the invoice went out to the customer.
  • Viewed: the customer opened it.
  • Partially Paid: a payment arrived but the balance remains.
  • Paid: the invoice is settled in full.
  • Void: the invoice was cancelled.
  • Overdue handling is typically built with a reminder workflow that checks whether the invoice is still unpaid.

Other filters

  • Invoice Amount: compare with operators, including Between with a minimum and maximum. The range is inclusive, and the minimum cannot exceed the maximum.
  • Tag: include or exclude contacts by tag.
  • Custom Fields: match your own data points, such as payment terms or customer type.

Set it up

  1. Go to Automation > Workflows and create a workflow.
  2. Click Add New Trigger and choose Invoice.
  3. Name it, such as "Post-workshop invoice sent".
  4. Click Add filters and choose Invoice Status, then select the status.
  5. Click Save Trigger, add actions, and publish.

Example workflows

  • Sent: wait three days, then send a gentle reminder if the invoice is still unpaid.
  • Viewed: notify the owner that the customer is looking at it.
  • Paid: send a receipt thank-you, update a field and tell the finance team.
  • Void: stop pending reminders and tag the contact.

Tips

  • Build one workflow per status so actions stay clear.
  • To avoid reminders after payment, create a second workflow triggered by Paid that removes the contact from the reminder sequence.

Good to know: For card or link payments in general, see the Payment Received trigger.
