Refunds, Cancellations and Check-in Eligibility

You can handle payment changes straight from an attendee's registration. Refunding and cancelling are separate actions: a refund returns money, while a cancellation removes the registration. Do either or both.

Cancellation Effects

Cancelling a registration:

  • returns the seat to inventory,
  • disables the attendee's QR pass,
  • notifies the attendee,
  • cannot be undone.

Refund Without Cancelling

  1. Open the event's Registrations tab.
  2. Open the attendee's Actions menu and choose Initiate refund.
  3. Select the ticket(s) and enter the amount. Full and partial refunds are both supported.
  4. Add optional notes (stored on the payment record).
  5. Leave Also cancel this registration unchecked.
  6. Confirm.

Money returns to the original payment method on your processor's timeline; the estimated window shown is only a guide.

Refund and cancel together

Follow the same steps but tick Also cancel this registration, review the warning, and confirm.

Cancel without a refund

  1. Open Actions, then Cancel registration.
  2. Review the warning.
  3. Add an optional reason (stored internally, not sent to the attendee).
  4. Leave Also refund this registration unchecked.
  5. Click Cancel registration.

Review History

Payment details on the registration show order and transaction details, total, payment status, and refund history. Event revenue reflects what was actually paid after discounts.

Check-in Eligibility

In event Settings, choose which payment statuses may enter by QR code. A refunded attendee can stay registered, so decide whether that status should be allowed in.

Good to know: Use a partial refund with notes when granting goodwill, so the reason is documented.
