Trigger Workflows from Document Activity

Beyond sending documents from a workflow, you can also run a workflow because of what happens to a document — when it's opened, signed, or completed, for example. This is the Documents & Contracts trigger.

What it does

The trigger fires whenever a document's status changes, letting you react instantly instead of manually checking the dashboard for updates.

Filtering the trigger

When you add the trigger to a workflow, you can narrow it down by:

  • Recipient type — a contact or a business user
  • Status — sent, viewed, signed/accepted, or completed
  • Specific template — only react to certain document types
  • Contract value — for example, only trigger for documents above a certain dollar amount

Common ways to use it

  • Send an automatic follow-up reminder if a document sits unviewed for a few days.
  • Notify a manager the moment a high-value contract is signed.
  • Update a custom field, a pipeline stage, or a spreadsheet the instant a document is completed.
  • Post an alert to your team chat tool when a proposal is viewed for the first time.

Setting it up

  1. Go to Automation > Workflows and create a new workflow.
  2. Add the Documents & Contracts trigger as the starting point.
  3. Configure the filters above so the workflow only runs for the events you care about.
  4. Add whatever actions should follow — notifications, field updates, follow-up messages, and so on.
  5. Save and publish.

Combined with sending documents from a workflow, this lets you build an end-to-end automated flow: a deal reaches a stage, a contract goes out, and the moment it's signed, the next steps in your process kick off automatically.
