Reminder Notification Timing and Channels

A well-timed reminder is one of the cheapest ways to cut down on no-shows. Vendi Today lets you set up reminder notifications that go out automatically before an appointment, on whatever timeline and channel mix works best for your business.

Setting reminder timing

From a calendar's Notifications settings, add a reminder and set how far in advance it should send — commonly something like 24 hours and again 1 hour before the appointment. You're not limited to a single reminder: stack multiple reminder notifications at different intervals so customers get an early heads-up plus a closer, same-day nudge.

Choosing channels

Each reminder can go out over email, SMS, WhatsApp, or as an in-app alert to staff, and you don't have to pick just one — many businesses send both an email and a text for the same reminder to maximize the chance it's actually seen. Note that SMS requires a properly formatted phone number with country code, and WhatsApp requires an approved message template and a verified business sender before it will deliver.

Matching reminders to your business

A same-day service appointment might only need a one-hour reminder, while a consultation booked three weeks out benefits from a reminder the week before, the day before, and the morning of. There's no single right setup — tune the timing to how far in advance your customers typically book and how easily they tend to forget.

Good to know: Reminder notifications are per-calendar, so a calendar for quick walk-in-style bookings can run a different reminder schedule than a calendar for appointments booked weeks in advance.
