Fixing Missing or Duplicate Appointment Notifications
Notification problems tend to fall into two very different buckets — messages not going out at all, and messages going out more than once — and each has its own set of likely causes.
Missing notifications
- Check the notification settings on the specific calendar involved — confirmations, reminders, and cancellation messages are typically configured per calendar, and one can be toggled off without affecting the others.
- Confirm the correct sending channel (email, SMS, etc.) is actually connected and in good standing — an expired sending integration will silently fail to deliver rather than throwing an obvious error to you.
- Check the customer's contact record for the correct email or phone number — a typo or an outdated contact detail means the message is technically sending, just to the wrong destination.
- Check spam or promotions folders on the receiving end before assuming the message never sent at all.
Duplicate notifications
- Look for overlapping automations — a workflow set up alongside the calendar's built-in notifications can send a second message for the same event without anyone intending it.
- Check whether the appointment was edited or rescheduled — some notification setups send a fresh confirmation on any update, which can look like an unwanted duplicate if that's not what you intended.
- If duplicates are happening across an entire calendar rather than one appointment, check for a duplicate notification template or trigger accidentally created during setup.
General approach
Change one thing at a time and test with a real booking before making a second change — notification issues that involve both a calendar setting and a separate automation are hard to diagnose if you adjust both at once.
Good to know: Reminder and confirmation messages are usually configured separately from each other, even though they feel like one system — check both individually rather than assuming a fix to one covers the other.
