Set Up Signer Roles in a Document Template

If you regularly send the same type of multi-party agreement — say, a buyer and a seller both need to sign — you can build the roles into the template itself instead of manually assigning recipients and fields every single time.

How it's different from just adding recipients

Adding recipients to an individual document (covered in "Add Multiple Recipients to a Document") is a one-off setup you do each time you send something. Signer roles are built into the template, so the structure — who signs what, and in what order — is already defined before you ever pick a real client.

Setting it up

  1. Open the document template in the editor.
  2. Define up to six signer roles — for example, Buyer, Seller, Witness, or any custom label your agreement needs.
  3. Assign the specific fillable fields (signature boxes, date fields, and so on) that belong to each role.
  4. Set the order roles should sign in, if sequence matters for this agreement.

Using it in a workflow

When you select this template inside a Send Documents & Contracts workflow action, Vendi Today automatically detects the roles you built in and shows them for you to fill in — you just supply the actual name, email, and phone number for each role at send time. You can override those details per send without touching the template itself.

Why this is useful

For any agreement with a repeatable structure — the same two or three parties, the same signing sequence — this removes the need to manually rebuild recipients and field assignments from scratch every time. You set the structure once in the template and just plug in real people going forward.
